1.Purpose
Doctoremia exists to make in-person physician shadowing more accessible for students and easier for clinics to host. Clinics volunteer their time. Students show up to learn. The platform works when both sides act in good faith. This policy describes the minimum we ask of everyone.
2.General prohibited conduct
The following conduct is prohibited on the Service and through it:
- Harassment, threats, hateful conduct, sexually inappropriate conduct, or content that targets a person or group on the basis of race, ethnicity, national origin, religion, gender, gender identity, sexual orientation, disability, or age.
- Fraud, deception, impersonation, or any attempt to misrepresent who you are or what entity you represent.
- Posting content you do not have the right to post, including content that infringes another person's intellectual property or privacy rights.
- Scraping, automated extraction, or bulk download of platform content (including clinic profiles, student profiles, and requirement listings) outside any documented public API or export feature.
- Spam, mass solicitation, or unsolicited promotional messaging within the platform.
- Attempts to bypass platform controls — including authentication checks, role separation, administrator-only review surfaces, row-level security, rate limits, anti-abuse signals, or session cookies — or to access another user's account or data.
- Reverse engineering, decompiling, or attempting to derive the source code of the Service, except where applicable law expressly permits it.
- Uploading or transmitting malware, viruses, or any code intended to interfere with the Service or with other users.
- Use of the Service for any unlawful purpose or in violation of any applicable law.
3.Conduct expected of students
If you use the Service as a student, you agree to:
- Provide accurate information in your profile and in any application you submit. Do not misrepresent your school, year, credentials, completed coursework, or experience.
- Honor any document or requirement a clinic states. Where a clinic requires a signed form or a background check, complete the clinic's process honestly and outside the platform where the clinic instructs.
- Treat clinic time as a volunteer contribution. Show up on time and prepared, follow the clinic's instructions while you are there, and let the clinic know promptly if you cannot attend a confirmed session.
- Do not offer payment to a clinic or to a clinic-staff member in exchange for a shadowing opportunity. Do not solicit, broker, or facilitate such payment off the platform.
- Do not request, record, photograph, video, or otherwise capture patient information, patient images, or clinical-decision content during a shadowing session, on or off the platform.
- Do not upload protected health information about patients, background-check reports, or similar materials the platform does not request. Where a clinic requires a photo ID or immunization record, upload it only through the document-requirement feature built for that purpose — never through open message fields or profile descriptions. Do not upload materials belonging to other people.
4.Conduct expected of clinics
If you use the Service as clinic staff, you agree to:
- Provide accurate information about the clinic — name, location, specialty notes, requirements, working hours, and listed physicians. Do not list a clinic location that does not exist or that you are not authorized to represent.
- Make sure stated requirements reflect what the clinic actually requires. If the clinic requires a background check, list it as a requirement; if it does not, do not.
- Decide on applications and session requests based on lawful criteria. Do not use the Service to discriminate on the basis of a category protected by applicable law.
- Do not request or accept payment from students in exchange for shadowing. Doctoremia is free to students for the platform's core features and is not a marketplace for paid placements.
- Run the clinic's background-check process at the clinic. Doctoremia does not store, verify, or adjudicate background checks; do not rely on the platform to do so.
- Keep availability honest. Publish slots you can host, and update or cancel slots you no longer can. Confirm or decline pending requests in a reasonable time so students can plan.
- Treat student information you receive through the Service as confidential to the purpose of evaluating an application or running a session. Do not redistribute it.
5.Conduct expected of volunteers
Some users volunteer to help the platform grow — for example, by introducing clinics, helping new students orient themselves, or contributing to community efforts. If you operate as a volunteer, you agree to follow the student- and clinic-side rules above as they apply, to represent yourself accurately as a volunteer (and not as a staff member, recruiter, or admissions officer), and to avoid making promises about access, outcomes, or admissions on behalf of any student, clinic, or third party.
6.Content you submit
Profile descriptions, application content, requirement notes, and similar text you submit must:
- be your own work, or content you have the right to submit;
- be honest and not misleading about the person or entity it describes; and
- not include content that is illegal, that infringes another's rights, or that violates Section 2 of this policy.
We may remove content that violates this policy, with or without prior notice, and we may take action on the account that submitted it.
7.Off-platform conduct
You may take a conversation off the platform, exchange contact information, and continue working together outside the Service. You remain responsible for your conduct in those channels. If conduct that occurred off the platform comes to our attention and we have a reasonable basis to act — for example, where it affects another user's safety or the integrity of the platform — we may still take action on your account. We do not attempt to monitor off-platform communication.
8.Reporting violations
If you encounter conduct that violates this policy, please report it through our contact page. Include enough detail for us to find what you are describing — for example, the clinic name, the date, or a screenshot. We will review reports as platform resources permit. We are not obligated to take action on every report, and we do not adjudicate off-platform disputes.
9.Enforcement
When we identify a violation, we may take any of the following actions, depending on the severity, the user's history, and the risk to others:
- a warning;
- removal or hiding of content;
- for clinics: revocation of verified status and removal from public discovery;
- temporary suspension of an account;
- permanent termination of an account; and
- referral to law enforcement or other authorities, where the conduct warrants it.
Doctoremia is not a court, a licensing body, an accreditation authority, or a guarantor of any user's conduct. Our role is limited to managing the platform; we are not a substitute for legal, medical, educational, or professional authorities outside the Service.
10.Changes to this policy
We may update this Acceptable Use Policy over time. The current version is the version posted on this page. We will update the “Last updated” date above when we make changes and, for material changes, take reasonable steps to bring the change to your attention.
